Employment Information for International Students

Working on campus is a great way for international students to make connections on campus and gain an insight into American workplace culture. Many international students receive a work award as part of their financial aid package and hold a wide variety of jobs on Earlham’s campus. Here’s your guide to starting your employment at Earlham.

BEFORE YOU START WORKING:

1.) Complete, sign, and upload your tax documents and I-94 to Sprintax. You can also print them out and turn them in to Mandy Roell in Carpenter #018.

2.) Collect your Social Security Letter from an International Student Adviser or request it online (most students with F-1 visas will complete steps 1 and 2 during NSO).

3.) Get hired for an on-campus job, but don’t start working yet! Check out Handshake for available positions.

4.) Ask your supervisor to fill out the following document: Social Security Letter from CGE – Once this form is complete, you will need to take it to an International Student Adviser for a verification signature.  Either Candice Marshall or Safia Diarra can sign your letter.

5.) Apply for a Social Security Number by taking the following documents to the Social Security Administration Office (500 North A Street, Richmond, IN 47374), which is open Monday, Tuesday, Thursday and Friday 9:00 a.m. – 4:00 p.m. and Wednesdays 9:00 a.m. – 12:00 noon.  Please note that they are closed on national holidays.

6.) Obtain a receipt from the Social Security Administration Office when they submit your application.

7.) Take the following documents to the Human Resources Office, Human Resources Building between 8:00 a.m. – 12:00 noon or 1:00 p.m. – 5:00 p.m. Monday – Friday.

YOU MAY (finally!) BEGIN WORKING AT THIS POINT! However, there are a few more steps to complete this process. If you do not do the steps listed below, you will be required to stop working per Federal Regulations.

When you receive your Social Security Card in the mail (approximately 2-4 weeks after you apply for it):

  • Update your Sprintax account (https://tds.sprintax.com/) with your Social Security number, and print out the updated Sprintax information.
  • Take your printed Sprintax forms and your Social Security card to the Human Resources office so they may complete your employment paperwork.

Earlham College policy allows students to work up to an average of 10 hours per week. Two reasons students are limited to 10 hours per week are that 1) you are students first and we want you to focus on your academics, work should be secondary, and 2) there are only a limited number of jobs on campus and we need to accommodate as many students with work awards as possible.

The Federal Government additionally prohibits international students from working over 20 hours a week during academic semesters. Violation of this Federal Regulation will result in a terminated SEVIS record and loss of your F-1 student visa status.
